Orbion ("we," "our," or "us") provides Orbion365, an ERP
application ("Service") used by businesses ("Customers," "you") to manage their
operations, including an optional integration with QuickBooks Online, provided by
Intuit Inc. ("Intuit"). This Privacy Policy explains what information we collect, how we
use it, and your choices regarding that information.
By using the Service, you agree to the collection and use of information in accordance
with this policy.
1. Information We Collect
Account & Company Information
- Company name, business address, and contact details
- User names, email addresses, and login credentials of individuals you authorize to use the Service
QuickBooks Online Integration Data
If you choose to connect your QuickBooks Online account, we access and store the
following data via Intuit's API, strictly to provide the sync features you enable:
- Customer records (name, email, phone, billing address)
- Invoice records (invoice number, line items, amounts, due dates, payment/balance status)
- Your QuickBooks company identifier (Realm ID) and OAuth access/refresh tokens (used solely to authenticate API requests on your behalf)
We do not access your QuickBooks banking, payroll, or tax data beyond
what is required for the Customer and Invoice sync features described in the Service.
Usage Data
- Log data such as IP address, browser type, pages visited, and timestamps, collected automatically when you use the Service
2. How We Use Your Information
- To provide, operate, and maintain the Service, including syncing Customer and Invoice records between your ERP account and QuickBooks Online
- To authenticate your QuickBooks Online connection and keep it active (refreshing OAuth tokens)
- To detect, prevent, and troubleshoot sync errors or conflicts
- To communicate with you about your account, updates, or support requests
- To improve and maintain the security of the Service
We do not sell your data, and we do not use QuickBooks data for advertising or marketing
purposes.
3. How We Share Your Information
We share data only in the following circumstances:
- With Intuit/QuickBooks Online — to perform the sync actions you request, as authorized via OAuth.
- Service providers — hosting, database, and infrastructure providers who process data on our behalf under confidentiality obligations where applicable.
- Legal requirements — if required to comply with a legal obligation, court order, or governmental request.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality protections.
We do not share your data with third parties for their own marketing purposes.
4. Data Storage & Security
- Data is stored on servers located in the United States.
- QuickBooks OAuth access and refresh tokens are encrypted at rest.
- All data in transit is protected using HTTPS/TLS encryption.
- Access to Customer and Invoice data is restricted to authorized personnel and scoped per company account — one company's data is never visible to another.
- While we take reasonable measures to protect your information, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
5. Data Retention
We retain Customer and Invoice sync data, and related sync activity logs, for as long as
your account is active or as needed to provide the Service. Sync activity logs are
retained for at least [90] days for troubleshooting and audit purposes. You may request
deletion of your data as described in Section 7.
6. Disconnecting QuickBooks Online
You may disconnect your QuickBooks Online connection at any time from within the Service.
Disconnecting revokes our access tokens with Intuit and stops all further syncing.
Previously synced data already stored in the Service and in your QuickBooks Online
account is not automatically deleted upon disconnection; you may request deletion of data
stored in the Service as described in Section 7.
7. Your Rights & Choices
- You may access, correct, or request deletion of your Company's data by contacting us at myerp@prowesys.com.
- You may disconnect the QuickBooks Online integration at any time.
- If applicable local law (e.g. GDPR, CCPA) grants you additional rights — such as data portability or objection to processing — you may exercise those rights by contacting us.
8. Children's Privacy
The Service is intended for business use and is not directed at individuals under the age
of 18. We do not knowingly collect personal information from children.
9. Third-Party Links & Services
The Service integrates with QuickBooks Online, operated by Intuit Inc. Your use of
QuickBooks Online is also governed by
Intuit's own Privacy Statement.
We are not responsible for the privacy practices of third-party services.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be notified via
the Service or by email. The "Last updated" date at the top of this page reflects the most
recent revision.
